Managing Common Spaces
Common spaces are the shared parts of your community that aren’t owned by an individual resident — clubhouses, pools, parks, gyms, and similar amenities. Unlike properties, they have no owner, billing, or violations attached. They exist so residents can find them in the Directory and so events can be held there.
Browse common spaces
Section titled “Browse common spaces”In the Directory, switch to the Common tab to see every common space in the community. You can search by name. Everyone who can open the Directory can browse this list and open a common space’s page, even if they can’t create or edit one.
Create a common space
Section titled “Create a common space”Click New Common Space to open the form. It has three sections:
- Basics — the space’s Name and a Category (Amenity, Recreation, Meeting, Grounds, Parking, or Other), plus an optional description. Each name can be used only once in your community.
- Location — turn on the switch if the space has a mailing address, and fill in the street address, city, state, and ZIP; city, state, and ZIP start out filled with your association’s address. With the switch on, a Location notes field takes anything the address doesn’t say, like “Near the main gate.”
- Images — click Add to upload JPEG, PNG, or WebP photos, up to 10 MB each. Drag to reorder them; the first image is the featured photo. Each image can have a caption of up to 140 characters.
Only the name and category are required. Click Create to save.
Edit or archive a common space
Section titled “Edit or archive a common space”Open the common space’s page and click the edit icon in the header to change any of its details in the same form, then click Save.
The archive icon hides a common space from the Directory and from the location picker on events, without deleting it or its events. Confirm with Archive. An archived space shows a banner on its page with a Restore link; restore it before you edit it again.
Use a common space as an event location
Section titled “Use a common space as an event location”When creating or editing an event, the Location field lets you toggle between Unit and Common Space. Choosing Common Space shows a searchable list of your community’s common spaces instead of properties. See Creating an Event for more on setting up events.
Who can manage common spaces
Section titled “Who can manage common spaces”Owners and Admins can create, edit, archive, and restore common spaces. Board Members, Residents, and Billing Managers can view and search them but won’t see New Common Space or the edit, archive, and restore controls.
