Late Fees and Payment Arrangements

Applies to:Owner, Admin

Go to Billing → Dashboard, click the arrow next to Create invoice, and choose Late fees. Then click New Rule. Each rule has:

  • A fee type — a flat dollar amount or a percentage
  • A grace period, in days after the due date before the fee applies
  • Applies To — limit the rule to invoices that include one type of charge, such as Regular Assessments Only, or leave it on All Charge Types
  • An active toggle — inactive rules won’t apply to new overdue invoices, but don’t affect fees already charged

Rules can be edited or deleted at any time; deleting a rule doesn’t reverse fees it already applied.

Late fees only apply to invoices that have reached the Overdue status, and only after the configured grace period has passed. If a property has an active payment arrangement with late fees paused (the default), the rule is skipped entirely for that account.

If a resident has fallen behind and needs a structured way to catch up, open the property’s Billing tab (see Managing a property’s billing) and click Create Arrangement. You’ll set:

  • Total owed — pre-filled with the current open invoice balance
  • Number of payments
  • Payment interval — Monthly, Bi-monthly, Quarterly, Semi-annual, or Annual
  • Pause late fees — on by default, this suspends late fee accrual for the life of the arrangement

Once created, HOA Hub generates one installment invoice per due date automatically, following the same generation mode (automatic or admin review) as regular invoices. Paying off an installment counts it toward the arrangement; once all installments are paid, the arrangement is marked complete. Cancelling an arrangement voids any of its invoices that haven’t been paid yet.

A property can only have one active arrangement at a time.
