Managing a Property's Billing

Applies to:Owner, Admin

Every property has its own billing console — the place to go when you need to work that specific property’s balance, rather than browsing invoices or payments community-wide.

Go to HOA → Properties, click into a property, and open its Billing tab.

At the top you’ll see the property’s Account Balance, any available credit balance, and whether autopay is enabled. If the property doesn’t currently have an owner on file, a banner reminds you of that — billing continues to run normally in the meantime (charges, invoices, and late fees aren’t paused), so the ledger stays accurate for whenever ownership is resolved.

From here you can:

  • Record Payment — log a manual payment (method, amount, reference number, and payment date — defaults to today)
  • Quick Invoice — create and immediately issue a single-line invoice, dated today and due in 30 days. Useful for a one-off charge that doesn’t warrant setting up a full charge
  • Issue Credit — add credit to the account directly, with an amount and a reason
  • Create Arrangement — set up a payment plan for an outstanding balance (only shown if the property doesn’t already have an active one) — see Late fees and payment arrangements
  • Set Starting Balance — enter the balance a property had before joining HOA Hub. This only appears if the account has no starting balance and no transactions yet, and can only be set once — use a negative amount if the property came in with a credit instead of a balance owed

If the property is assigned to any charges, you’ll also see a summary of each one and its balance.

  • Payment Arrangement — if one is active, a summary card shows its progress
  • Open Invoices — everything currently owed
  • Invoice History — past invoices, regardless of status
  • Credit Memos — issued credits, including any from waived late or NSF fees
  • Recent Transactions — the property’s transaction ledger

Click any invoice to open its full detail, including line items and payment history — see Creating invoices and recording payments.
